Client reporting can be a headache for agencies. You need to pull data from various sources, make sense of it, tailor your reports to client needs, and offer explanations your clients understand.

This takes time if you are juggling between multiple clients and other tasks.

That’s where SE Ranking’s Report Builder steps in. This powerful tool tackles reporting issues and automates the process to help you focus on what matters—driving exceptional SEO results for your clients.

But don’t take our word for it. We asked several agencies that have been using our Report Builder how it’s going for them and (spoiler alert) they’re pretty excited.

Agencies

On average, 47% of our clients use the Report Builder tool monthly to create reports for clients and streamline this process.

To better understand how it helps, we contacted three agencies that incorporate our tool into their daily workflows.

Doominio.com is a Spanish agency offering a comprehensive suite of digital services, including hosting, domain registration, SEO, web design, ecommerce solutions, etc. The agency also delivers optimization services funded by the European Union through the Spanish government.

imc marketing & consult gmbh is a German digital agency specializing in ecommerce and online marketing. Its core services include consulting, strategy development, SEO, SEA, SMM, and custom website creation. While it primarily works with medium-sized companies, the company’s expertise spans various industries.

Valpo Web Design & Marketing is a US-based website design and digital marketing agency. It provides modern and conversion-driven web design, PPC ad management, and SEO services. The agency helps home service contractors, professional service providers, local businesses, and manufacturing and industrial companies.

We are grateful to our respondents for dedicating their time to complete our questionnaire and give their feedback.

Goals & Wins: A streamlined reporting process

Saving time on creating an SEO report

Whatagraph’s research of 160 agencies shows that 48% of agencies spend up to 5 hours on reporting per week per client and only 27% use reporting software. This means a large portion of agencies still report manually spending hours collecting data, processing it, and transforming it into visually appealing client presentations.

All three of our respondents manage around 20 or more projects at a time and provide monthly reporting to keep their clients informed and engaged.

Before adopting SE Ranking’s Report Builder, they prepared reports manually or used other tools. Regardless, reporting was less effective and time-consuming. After switching to SE Ranking, these agencies have significantly cut down the time spent on reporting:

Jorge O.
Director at Doominio.com
We usually spend about one hour preparing a report template that can be used for all clients, since our reporting has some specific requirements.

Alistair Dowds
Managing Director at Valpo Web Design & Marketing Agency
The initial report setup takes approximately 30 minutes. Then we can configure automatic monthly report generation.

With AI-based capabilities in Report Builder, agencies can further reduce time spent. Now you can generate summaries for your report sections with the help of AI. You can choose what data to focus on: highlight positive aspects, emphasize negative ones, or use a balanced approach by dedicating time to both.

You can also define the summary length and add your personal touch by making changes to the generated text. Generation takes just a few seconds, saving you time while making your report look more professional.

Meeting diverse client data needs

Each client has unique goals, tracks different SEO metrics, and requires tailored insights. One-size-fits-all reports won’t cut it.

Our respondents noted that SE Ranking empowered them to handpick the data that matters most to each client. Whether a client requires technical audit data, detailed keyword rankings across multiple search engines, conversion rate analysis, or comprehensive analytics and traffic information, agencies noted having full control over what to include in their reports.

Alistair Dowds
Managing Director at Valpo Web Design & Marketing Agency
Primarily, we utilize the new Rankings 2.0 reporting section. Since we’re focused on SEO, we report how our clients’ websites are ranking for various keywords across multiple locations. The tool shows ranking changes over time, helping us highlight areas of improvement and where we plan to drive new growth.

Jorge O.
Director at Doominio.com
At Doominio, we handle various projects with specific reporting needs, especially for SEO services funded by the European Union. Website design projects require data on SEO progress, while ecommerce projects need competition analysis. For pure SEO, we combine both progress data and competitor insights. We also include keyword ranking reports and competitor keywords with rankings compared.

Justin Ahlbrecht
Online Marketing Manager at imc marketing & consult gmbh
We use the standard sections as a part of our whole report, which we send to our customers. We are really focused on keywords, ranking for first and last period, detailed rankings of competitors and overview of competitors.

What sets SE Ranking apart is the accuracy and depth of our data. Powered by AI and ML technologies, our platform delivers precise and up-to-date insights. So agencies can be sure of the data they show their clients.

Our respondents noted that they often integrate data from multiple sources into their reports. They use integrations in two ways:

  • Some connect their client’s GSC and GA4 to the SE Ranking platform to retrieve data on clicks, impressions, traffic, and dynamics in their reports. They also use SE Ranking’s Looker Studio templates and API for massive data analysis.
  • Others integrate SE Ranking’s data into the bigger, multi-channel reports they provide to clients and present their overall performance across all marketing activities.

To support agencies in maximizing their reporting potential, SE Ranking released its SEO Reporting and Data Visualization course where you can learn how to combine data from various sources for a holistic overview.

Customizing report design for a better client experience

A well-designed report shows professionalism, while clear layouts make it easier for clients to grasp complex data. All this sets a positive tone for the client relationship.

SE Ranking’s Report Builder offers a range of customization and design features, including choosing between vertical and horizontal layouts.

Agencies enjoy this flexibility. For example, Doominio.com mainly uses vertical layouts but appreciates the ability to switch when necessary.

Jorge O.
Director at Doominio.com
The horizontal [layout] could look better, especially for the keyword reports.

Similarly, imc marketing & consult gmbh agency prefers vertical layouts for maintaining consistency with their internal reporting style, while Valpo Web Design & Marketing finds vertical layouts effective but highlights that horizontal layouts would be more suitable for reports with additional data points.

Some agencies also highlight the need to customize reports to reflect their brand identity. For this, the White Label feature is a must. This includes adjusting the design elements to match their corporate identity, using brand colors, adding logos, etc.

SE Ranking users build 24% White Label SEO reports per month.

imc marketing & consult gmbh agency highlighted this feature as a significant advantage:

Justin Ahlbrecht
Online Marketing Manager at imc marketing & consult gmbh
Being able to brand your report and adjust it to your corporate identity is crucial for delivering a professional product.

Valpo Web Design & Marketing welcomed the option to customize report dates for each client in order to demonstrate correct progress over time for each project.

Report scheduling for automated delivery

One of the key features agencies value about SE Ranking’s Report Builder is its report scheduling function. This feature ensures that reports are sent out on time and prevents agencies from having to manually input delivery details each time.

Report scheduling in SE Ranking

With Report Builder, agencies can schedule report generation and deliver them daily, weekly, or monthly. They can also choose a specific day and time for delivery. Additionally, users can add up to five email addresses for each report and distribute it to multiple stakeholders.

SE Ranking users send out approximately 180K scheduled reports per month. Most are sent every week (87%)

Agencies use these automated reporting features in various ways. imc marketing & consult gmbh agency uses scheduling to organize its reporting workflow.

Justin Ahlbrecht
Online Marketing Manager at imc marketing & consult gmbh
We schedule automated sending for some reports. This helps us keep track of which reports need to be sent out and which ones are just for monitoring projects.

Valpo Web Design & Marketing uses a two-step process. It first schedules reports to be sent internally and then presents them to clients.

Alistair Dowds
Managing Director at Valpo Web Design & Marketing Agency
The reports are sent to me so that I can review them first, then we share them with clients during a monthly review meeting.

This strategy allows for additional quality control. It ensures all reports are accurate and aligned with client needs before being presented.

Key Result: Building client trust

When Valpo Web Design & Marketing Agency partnered with Discount Roof, the roofing company struggled to establish a strong online presence. It implemented a comprehensive strategy, including website design, ad management, and SEO tactics to grow company’s business in the local area and expand its reach.

However, it wasn’t just the results that made Discount Roof a loyal client; the agency’s approach to communication and reporting also played a key role. Using SE Ranking’s Report Builder, Valpo Web Design & Marketing Agency created detailed reports showcasing Discount Roof’s progress across various metrics. It tracked multiple projects simultaneously, providing a comprehensive view of its efforts.

Alistair Dowds
Managing Director at Valpo Web Design & Marketing Agency
Over time, we have used reporting to show them how our SEO services are helping them to rank online. Now they rank in the top positions for many roofing-related keywords, including roof repair, roof replacement, roof inspector, etc. We have recently started a new project for this client, covering a different service area. With this expansion, we have generated a new monthly report for this region. This way, we can monitor their success and also find any areas that need improvement.

For Doominio.com, transparency and regularity were critical because they had to meet the EU’s stringent reporting requirements. SE Ranking’s Report Builder helped the agency create reports that adhered to these guidelines. It was able to include specific data points (keyword rankings, keyword competitors, position comparison) required by the government and maintain the level of professionalism expected in government-funded projects.

imc marketing & consult gmbh managed to build reporting consistency with its clients. It found the Report Builder tool useful for keeping track of client keywords and rankings over time. It also helped with tracking changes in client success after implementing strategies.
